Trained before day one. Documented from day one.
We hire the top 1% of talent, and every VA still completes our 4-week training program before they're deployed. Then we capture how your business works in SOPs, click-by-click screen recordings and a client preference guide, so anyone who joins your team gets up to speed in days, not months.

Top 1% talent. Four more weeks of training anyway.
Hiring the best is where we start, not where we stop. Before every deployment, each VA goes through four weeks of training built from nearly six years of running VA teams across industries.
Foundations
Communication, email and coordination: everything it takes to be a great operations person.
- Professional email and business writing
- Scheduling and coordinating across time zones
- Clear updates, reporting and follow-through
- Spotting the next step before you ask
Tools & AI
Hands-on with the tools of modern operations and admin work.
- AI assistants and prompt engineering
- Signed up to and trying 40+ ops and admin tools
- Project management tools and workflows
- Checking AI output before it reaches you
Automation
Time with our automation team, turning repetitive work into workflows.
- Find the tasks that eat time every day
- Automate them with Make.com, n8n or Zapier
- Build and debug with help from Claude
- Free up time for higher-value work
Assessment
Everything from the first three weeks, put to the test.
- Assessments on communication, tools and automation
- Review and feedback on what they learned
- Industry-specific training where the role needs it
- Then matched to a client
Matched on skills, trained for your industry.
From hiring to training, we work to match what you need with what your VA already knows. The closer the match, the shorter the learning curve, and the higher the success metrics.
- General training for every VA: communication, tools, AI and automation
- Industry-specific training when your VA joins a healthcare, e-commerce, real estate or SaaS team
- Skill matching from day one: we hire and shortlist for the experience your role needs
- Nearly six years of working with clients across industries behind every program
Four things that make the training stick.
Training a VA once is easy. Keeping that knowledge when you add a VA, replace one or change a process is what we build for.
SOPs & screen recordings
Every recurring task is written down step by step and recorded on screen, click by click. A new VA watches it once and does it right.
Client preference guide
One living document with your tasks, logins, working style and the details that matter to you.
Reports, metrics & dashboards
We agree what good looks like, then track it, so we catch problems before you notice them.
Regular ops manager check-ins
Hourly, then daily, then weekly at first. Every check-in updates the documentation.
Everything about how you work, in one place.
We build it with you during onboarding and keep it current at every check-in. It's the first thing any new or extra VA reads.
- Tasks, both recurring and one-time, with when and how often
- Logins, kept in a password manager and never sent by email or chat
- Your style of working: tone, formats, channels and pet peeves
- Important info: key clients, deadlines and the details only you would know
Recurring tasks

Important info

- Flies United, aisle seat
We track the work, so problems show up early.
You shouldn't be the one to discover something slipped. Reports, success metrics and dashboards let your ops manager see a trend before it becomes a problem.
- Success metrics agreed with you on the planning call
- An end-of-day report from your VA
- Dashboards your ops manager reviews every week
- Check-ins hourly, then daily, then weekly, with notes added to your documentation
Adding or replacing a VA takes days, not months.
Adding a VA
Your second, fifth or ninth VA starts from the same SOPs, recordings and preference guide as the first, so growing the team doesn't mean starting over.
Replacing a VA
If someone leaves or isn't the right fit, the knowledge stays. Your new VA inherits all of it on day one.
How replacement works →What does the 4-week training program cover?
Week 1 is foundations: communication, email and coordination. Week 2 is tools and AI, including prompt engineering and 40+ operations and admin tools. Week 3 is automation with Make.com, n8n and Zapier alongside our automation team. Week 4 is assessments on everything they learned.
Do VAs get industry-specific training?
Yes. On top of general training, VAs joining a client in a specific industry, such as healthcare, e-commerce, real estate or SaaS, are trained on that industry's tasks before they start.
Do I need to train my VA?
No. We learn your tools and processes, train your VA on them and write it all down. You just tell us how you like things done.
What is a client preference guide?
One living document with your recurring and one-time tasks, logins (kept in a password manager), your style of working and any important details. We build it with you during onboarding and update it at every check-in.
How are SOPs and screen recordings made?
Your VA and ops manager write an SOP for every recurring task and record it on screen, click by click, while learning it with you. When a process changes, the SOP and recording are updated.
How are my logins kept safe?
Logins are shared through a password manager, never by email or chat. Your VA only gets the access they need, works over a business VPN and loses access within 24 hours if they leave.
How do I see how my VA is doing?
Your VA sends an end-of-day report, and your ops manager reviews the dashboards every week and sends you a simple progress update.
How often will I hear from my ops manager?
Check-ins start hourly, then move to daily, then weekly as things settle. You can always reach them in between.
Your first week is risk-free.
Not happy with the service or your VA in the first 7 days? You get a full refund.
